If you DO NOT live in the area and have been invited to join as a guest or would just like to keep abreast of what is happening in the area, then registration for this website is a simple process 

To do so, please  click here.  Enter a username, password, email address, security question and security answer and click submit.  On the second page, enter your first and last name, company or organisation (if private, enter something like "Tokai Resident"), street, a contact number and the details of a second optional contact name and number.

Viewing and changing your user profile
On the 'My Profile' page, you may edit all  information currently held except for your username, given name and address.  Once registered, the username remains and cannot be changed.  If you have made a mistake in your given name or address, the please notify the Membership administrator who will change it for you.

The type, format  and frequency of emails you receive from us are selectable by you.  The emails you can opt to receive are as follows;
  • News Items - Items added under the news category and are usually either general interest items or in some cases, emergency communications from the committee.

  • Events - Gatherings that are held by the organisation.  These may be public meetings or committee meetings.

  • Crime in your zone - Incidents that occur within your zone in KCW 
  • Crime in other zones - Incidents that occur anywhere within the  KCW area
In addition to selecting what you want to receive, you may also select the frequency you wish to receive them at.  The options are Immediately they are posted on the website; Weekly or Monthly.

Please note however, that to generate the weekly and monthly information roundups is a manual task and the person sending them is most likely doing it in their own time.  If they forget on occasion, please do not be too harsh. 
I do not want anyone to be able to view my contact information, how do I hide this?
Your contact information is held in the strictest confidence and we have gone to great lengths to ensure it remains private and only accessible to those that need to know it.

We believe that it's in your best interests to have your information available to the neighbours in your street so that they may contact you in the event they suspect something untoward at or on your premises or in an emergency. 

However, we understand that for whatever reason, some people prefer to keep their details secure, so on the My Profile' page, you may select the Yes option on the confidentiality radio buttons to ensure your details are hidden. 

Note:  Irrespective of what option you select,  street coordinators, zone coordinators and committee members will still have access to your details.
How can I view my neighbours contact details?
Note:  This page contains member details.  Please do not use the email addresses contained therein for any use other than strictly legitimate KCW activities.

If your neighbours have elected to allow their details to be visible - see above, then to obtain their contact details for use in an emergency, you may visit the members page.

Here you will find the names, phone numbers and email addresses of your immediate neighbours.  To print a copy of these for use in an emergency, press the print button above the member list.
A new window will open, but please be patient as the new window will initialise the print engine on your PC and bring up the print dialogue box.

As a registered user, you can view the list of Zone Coordinators and Street Coordinators and their respective contact details.

The remaining info is the same as for a non- logged in or unregistered user

Due to member confidentiality, the information available to you is confined to what the committee believe should be available for public viewing but usually includes contact details for the various committee members.

If you are unsure of what Zone you reside in, you may also find out on this page.  Simply hold your mouse over the required Zone to see a list of Streets within the Zone.  Note:  Due to a restriction on the number of items a map may contain, some Streets may not be visible, but you will be notified of this at the bottom of the list where it will say "[Text Truncated]"

How do I view a KCW news article 
News articles are items that are posted by a member of the committee that we believe are of use to our members.  A selection of the most recent articles are posted on the home page of the site and can be viewed in full by clicking one of the hyperlinks within them.  This will open up the full article.

How do I view a KCW event?
The most recent past and present KCW events are shown in brief on the home page beneath the news items.  Selecting one of them will open that event in the events page.

To view events click here if you wish to view them in the calendar (monthly) format.  Alternatively, click here if you wish to view them in list format.

How do I find out where KCW events are being held?
Within every event is a location link.  Clicking this link will open the details to the location if one has been supplied.

How do I add a reminder of an event to my Outolook Calendar?
Within every event is a link that says 'Add this event to your personal calendar'.  Clicking this link will open a dialogue box that asks you if you want to Open, Save or Cancel.

Most people should choose the 'Open' button.  Once this is clicked you will briefly see a download box that will disappear and will leave you with an outook appointment screen.

Make any required changes to the appoinment and save it.  You will then be notified prior to the event.

Note:  You should have outlook open before you do this or it may fail.




How do I add an incident  ?
As well as adding incidents to this site, if you were involved in anyway or were the victim of a crime, you are strongly urged to report the matter to the SAPS and make a statement.  Whilst this may seem inconvenient, particularly for lesser crimes, it is important that they are aware of exactly what goes on in the area.  Additionally, manpower at any SAPS station is in large part governed by the level of reported crime where a case docket is opened.

Please note that when changing the incident type and the date, the server 'posts back' and it may take a few secconds whilst this happens.  Please be patient to prevent an error occuring.

If you do not wish to be personally identifiable when adding an incident, be sure not to use your name, house number or any contact phone numbers when adding the incident.

After you have entered all the incident detail, press the save button.  Depending on how the site is configured, one of 2 things occur;

  1. the incident will be saved and visible on the website and emailed out to all members that have set their options to receive incidents as they are added. or,
  2. The administriator will be notified that the incident has been added and will have to authorise it prior to it becoming both publicly visible and emailed out to members.  Please note that the administrator can prevent the incident from being emailed to members even though it may be publicly visible on the website.

For incidents that occur outside the KCW area, please provide the details via email to KCW if you believe it should be on the site.


How do I view previous incidents?
The home page has a very brief list of the most recent incidents on the left hand side, beneath the welcome message.  Selecting any one of these will open the message in the incident viewing page.

You may scroll through the pages and see breif descriptions of each incident and select any that are of interest. 

Whilst viewing an incident you may go directly to the previous and next incident by clicking the 'previous' and 'next' incident links at the top and bottom of the incident description..

What are the forums?
The  Forums are an area of the site where users may view posts made by other members, reply to these posts and create their own posts that other members may respond to.

The various categories within the forum section are defined by the site administrator and may change from time to time. 

To view a particular category, click it from the list available.  Once in the category, you may open any thread that is of interest to you by clicking the subject of the thread.

To add a new thread, select the category and in the top right corner, click 'Start New Thread'.
Add your text and click 'Post' or 'Cancel if you wish to close it without saving.

To reply to a particular thread, click 'Reply', add your text and click 'Post'.  To cancel out back to the original post without saving your changes, click 'Cancel'.

To add a 'Quoted Reply', select the text from the thread you wish to quote, and click 'Quoted Reply'.  When the new page opens, the text you selected will be appended to the words "Some One Wrote:", where some one is the person who wrote the post you are quoting from.

Why can't I add to a post or forum topic and why are some posts always at the top of the list in a topic?
The site administrator or a site author has the ability to lock both a topic and a particular thread within a topic.  Generally, this may be done to items that have been added for information only, such as FAQ's where responses are not generally required.
A locked Topic or Thread will be signified by a small padlock symbol in the graphic to the left of the topic or thread.

Sometimes a thread has been added that the site administrator or author considers to be of particular interest and would like this thread to be at the top of the list.  They do this by marking it 'Sticky'.  A stick thread will be under the heading "Sticky Threads" and will also be signified by the top right corner of the graphic to the left of the thread being 'cut-off'  You may still reply to a sticky thread unless the administrator or author has also locked the thread.
 

How to view documents added to the site.
The  Documents area of the site is a place where an administrator or author adds documents that they feel may be of interest or use to the membership.

The page comes in 2 sections, the top section of the page has the various categories of documents.  Clicking on a category will bring up a list below the category section of all douments belonging to the selected category.

To view a document, click the 'View' link to the right of it's description in the table.

Note: Because of file sizes and to prevent documents being altered and redistibuted, the administrator or author may convert them to Portable Document Format (PDF) prior to posting them.  In order to read PDF documents you will need to install the AdobeĀ® ReaderĀ®.  A link for this can be found in both the bottom left had side of the home page and in the middle of the documents page.  At time of writing, the download is approximately 28Mb. 
If you are using a dialup internet connection then this may take a few hours to download.  If you do not wish to spend this much time online, then please contact the webmaster and we will arrange for a copy to be loaned to you.
